How to prepare a clean document scan for an upload portal

Check framing, format, readability, and metadata before uploading a scanned form or supporting document.

Open Crop Image

A clean document scan preserves the information the reviewer needs. The best starting point is a flat page in even light. Keep the camera parallel to it and check that a hand, a shadow, or a reflection does not obscure any part of the page. Retake an unreadable source before trying to fix it with compression.

Check the upload rules before editing

Write down the accepted file types, whether every edge must remain visible, and the size limit. A portal might ask for a single PDF or for the front and back as separate images. In the second case, make two clearly labeled copies instead of stitching them into an image that the form cannot accept.

Use Crop Image to remove excess desk area if the instructions allow it. Keep the entire requested document visible. Use Image Resizer when the portal specifies pixel dimensions. Confirm the output did not rotate unexpectedly and that fine print remains readable.

Check what you will share

A receipt photo can contain location metadata or a visible detail from the room where it was taken. Review the content before sharing it. If you are allowed to remove photo metadata, use Remove EXIF on the final photo export and then check the new copy. Do not edit identity fields on a document that the recipient requires in its original form.

If the portal requests a PDF, JPG to PDF can gather your photos. Inspect the resulting page order and page edges. Open it on the device you plan to submit from and zoom in on the smallest field the recipient needs.

Save a reviewed copy

Name the file by its purpose and date without placing unnecessary personal information in the filename. Keep the original separately. If a file still fails, compare its actual extension, pixel dimensions, page count, and byte size against the form. The scanned PDF compression guide covers a separate compression step when the PDF is readable but too large.
