How to check whether a resume PDF can be read by hiring software

The first check on a resume PDF is whether the important text survives extraction. A file can look polished in a viewer but put dates before the wrong role or drop contact details from the text output. Test the exact PDF you intend to submit, then follow the employer’s file requirements.

Create a plain-text check

Open PDF to Text and extract the text from your resume. Check that your name, contact details, employers, roles, and dates appear in the right order. If the first result is empty, you may be looking at a picture of text rather than a selectable text layer. Export from the editable source when you can.

Inspect the parts that are easy to miss

• Confirm your email address and phone number are readable and in the main document body.
• Look for each date next to the role or project it describes. If the text jumps from left to right in the wrong order, try a single-column version.
• Check that bullets and characters from another script survive the export.
• Search the resulting text for one complete line from the middle of each job entry. This can catch missing content after a page break.

If you revised a role, compare the old and new text in Text Compare to make sure the edit changed only what you intended. A focused description of what you did and what changed is more useful than repeating keywords from the job listing.

Verify the final upload

Keep a PDF and an editable master. Use DOCX if the portal asks for it. If the application fills fields from your resume, review those fields before submitting, even when the PDF looks correct. Save the exact version you sent so you can refer to it later.
