How to check tax-inclusive and tax-exclusive invoice totals
Compare gross and net pricing with a worked example, then review line items and totals before sending an invoice PDF.
Open VAT & Sales Tax CalculatorBefore entering a rate, check what the agreed price means. A tax-exclusive price has tax added on top. A tax-inclusive price already includes it. Mixing those two methods is a common way to send a bill that differs from the quote.
Work through the numbers
Suppose an item costs 120 including a hypothetical 20% tax. Divide 120 by 1.20 to get the base of 100. The tax part is 20. Multiplying 120 by 20% gives 24, which would calculate tax on a new base of 120 instead.
If the quoted price is 120 before tax at the same example rate, the tax is 24 and the total is 144. The VAT and Sales Tax Calculator can add tax or split a total so you can compare the two cases. Use the rate and treatment already established for your transaction.
Keep the lines auditable
On a working copy, mark which prices came from the quote and whether they include tax. If several items use different treatments, check each one separately. A single percentage in a simple invoice tool may not reflect the billing rules you need. Also confirm how your agreement or accounting system handles discounts, shipping, and rounding.
Suppose a customer agreed to a 120 inclusive price, and the invoice shows a subtotal of 120 plus 24 tax. The result is not just a small rounding difference. Go back to the agreed gross total and split that amount before exporting. Round the final displayed amounts in the same way as the billing system you use.
Review the PDF with the agreement beside it
Open Invoice Generator to lay out the invoice after you know the right numbers. Compare the displayed subtotal, tax amount, and total with your worksheet. Check the currency, billing parties, invoice number, and due date. Remove sample payment text and open the saved PDF before you send it.
The example demonstrates arithmetic. Local invoice requirements and tax treatment vary, so follow your applicable authority or accounting instructions for the real document. See the freelance invoice checklist for the rest of the handoff.
