How to organize rent receipts and payment records in one PDF

A useful rent payment packet lets someone match a payment to the period it covers. Start with real receipts or payment confirmations. A PDF you assemble can organize the evidence, but it does not create proof that a payment took place.

Make a payment index

List the rental period, date paid, amount, and receipt or transaction reference. Keep the period separate from the transaction date. A transfer on April 28 might cover May rent, and an installment might cover only part of that month. Match each entry to the source before combining documents.

Use clear filenames for your working copies, such as 01-jan-receipt.pdf and 02-feb-bank-confirmation.pdf. If a payment confirmation shows unrelated purchases or balances, ask whether a receipt or a transaction-only statement is enough. A narrower source is easier to review and share.

Assemble the packet

1. Convert photo receipts with JPG to PDF if you need a consistent PDF format. Verify that dates and references are legible.
2. Open Merge PDF and arrange the index and source documents by the rental period they cover.
3. Use Remove PDF Pages for extra pages when the recipient only needs specific pages. For sensitive fields within a page, use a real redaction workflow and verify the export.
4. Open the merged file and check the first page of each month. Compare the page count and the totals against your index.

For example, if March was paid in two transfers, keep both confirmations together and show the two amounts on the March entry. If a receipt covers several months, reference its page once instead of repeating the same PDF for each month.

Keep the original records

Save the finished packet separately from the underlying receipts. If a recipient requires a specific form, signed statement, or original document, use their instructions.
